BP, Global Business Centre

Acando had 6 consultants working with BP for 2 years in London, Aberdeen and Chicago. Acando partnered with Envoque Consulting to provide BP’s Global Business Centre stream with a comprehensive deployment programme to drive forward its use of Documentum as the standard for Document Management in the strategic development of the business.


Project and Client Background
Acando’s involvement was within the Global Business Centre (GBC) stream of BP. After performing due diligence investigations, Documentum had been selected as the standard application for document management throughout GBC as part of BP’s strategy to create an “Office of the Future”. Acando worked in close partnership with Envoque Consulting, and together formed the GBC Documentum Project Team.

The rollout of Documentum within GBC was scheduled as a project-by-project implementation through various business units. Despite each of these projects differing in nature, some core business objectives can be highlighted:

 •  Improved version tracking, auditing and security of documents
 •  Promotion of collaborative working practices
 •  Lifecycle control and workflow management
 •  Scanning

Project Requirements
The solution required from the Acando/Envoque project team centred on the provision of a number of highly-skilled specialist consultants to supply technical and training services to the GBC Documentum projects. The experience of the team was critical to the successful completion of application development in a range of business areas, both nationally and internationally.

Solution
The range of technical services supplied to BP GBC included:
 
1.  Feasibility analysis, design and implementation of GBC Documentum systems
 2.  Project management, testing and implementation of a Documentum upgrade programme
 3.  Design and implementation of global Content Replication configurations
 4.  Development of a comprehensive SAT validation programme for testing of core software and customisations
 5.  Creation of Best Practice papers based on upgrade and implementation experiences in GBC for Digital Business Operations (DBO)
 6.  Product intelligence and technical management of fault reporting and assisting DBO in  identification and resolution of Common Operating Environment issues
 7.  Spearheading COE & Documentum compatibility testing within GBC

Acando Learning Services provided training for all end users involved in Documentum projects within GBC through a combination of bespoke classroom courses, printed materials, and a series of  workshops and user engagement sessions. Excellent user feedback was consistently given and many users were impressed with the format of Acando Learning Services’s training and documentation.

During the busiest time of the project, two senior consultants from Acando Learning Services were engaged on site, both in the United Kingdom and in Chicago, IL. This extra resource requirement was fuelled by the need to deploy Documentum within the GBC business units in North America. At this time Acando had responsibility for all Documentum training provision within GBC across the UK & Midwest USA

GBC Projects
Some key projects undertaken as part of our engagement are outlined below:

Finance
Within the finance division, a Documentum application was designed and developed to provide electronic access to members of the Treasury Operations team. The fast access to tens of thousands of documents in seconds, as opposed to days, allowed the Treasury Operations team to develop new ways of workings could continue to access the system via the new COE platform.

Trade Marks
The Documentum system implemented for the Trade Marks department contained electronic versions of hundreds of thousands of pages of Trade Marks documentation. The electronic storage of such information resulted in drastic reductions in time taken to locate relevant material and process Trade Mark queries. The system resulted in immediate operational benefits for the Trade Mark team.
